FF Pest & Hygiene Management
Privacy Policy
Last updated: 14 October 2026
We respect your privacy. This policy explains what personal information we collect, why we collect it, how we keep it safe and what your rights are. It follows the Protection of Personal Information Act 4 of 2013 (POPIA).
FF Pest & Hygiene Management is a trading name of Fumani Faza (Pty) Ltd, registration number 2019/375101/07, based in Rosslyn, Pretoria. We're the "responsible party" for the personal information described here.
1. What we collect
When you ask for a quote on our website:
- your name, cellphone number and suburb (required)
- the service, the type of place and the programme you're interested in, plus any message you add (optional)
- whether you'd like updates by WhatsApp, and whether you'd like our monthly pest and weed note by email (both unticked unless you choose them)
When you contact us on WhatsApp, by phone or by email: your name, number or email address, your messages, and any photos you send us (for example, of the pest or the damage).
When we do a job: the site address, the access contact, the areas treated, and the details on your job card, treatment report and certificate. For businesses, complexes and public facilities, this may include the names and contact details of managing agents, trustees, facility managers or site staff.
When you pay: your invoice and payment details, such as the name on the account and the payment reference. We don't store card numbers.
When you use our website: our hosting provider automatically records basic technical information, such as your IP address, browser type and the pages requested, to keep the site running and secure.
We don't knowingly collect special personal information (such as health information). The exception is a sensitivity you tell us about, like asthma or allergies, so we can treat your site safely. We only use that information for that purpose.
2. Why we use it
We use your personal information to:
- respond to your enquiry and send you a quote
- book, carry out and follow up on treatments, including re-treatments
- issue job cards, treatment reports, certificates and invoices
- keep records we're required to keep, for example of the products we used
- send you updates on your request by WhatsApp, if you asked for them
- send you our monthly pest and weed note by email, if you asked for it
- improve our services and keep our website secure
- comply with the law and protect our legal rights
We'll only use your information for direct marketing if you've agreed to it, or if you're an existing client and the marketing is about similar services. You can opt out at any time.
3. Our legal basis
We process your personal information because:
- you've given consent (for example, by ticking an update box)
- we need it to quote for or carry out a service you've asked for
- the law requires it
- we have a legitimate interest, such as keeping proper service records or following up on an enquiry you made
4. WhatsApp
When you message us on WhatsApp, or tick the box to get updates by WhatsApp, your messages are handled through WhatsApp Business, a service run by Meta. Meta processes that information under its own privacy policy. We use WhatsApp only to communicate with you about your enquiry or service. To stop WhatsApp updates, reply "STOP" or tell us.
5. Cookies and analytics
Our website uses only the cookies and similar technologies it needs to work and stay secure. We don't use advertising cookies or sell your information to advertisers. If we add analytics tools in the future to understand how the site is used, we'll update this policy.
6. Who we share it with
We never sell your personal information. We only share it when we have to:
- with service providers who help us run the business, such as our website host, email provider and WhatsApp Business. They may only use it to provide their service to us
- with our bookkeeper or accountant, for invoicing and tax
- with authorities, when the law requires it
- with a managing agent, trustees or a landlord, where they arranged or are paying for the service at your property
Some of these service providers store information on servers outside South Africa. When this happens, we make sure the information is protected in a way that meets POPIA's standards.
7. How we keep it safe
We take reasonable technical and organisational steps to protect your information against loss, misuse and unauthorised access. These include password-protected accounts, limiting access to the people who need it, and using secure, reputable service providers. If we believe your information has been accessed without authorisation, we'll tell you and the Information Regulator as POPIA requires.
8. How long we keep it
- Enquiries that don't turn into a job: up to 12 months, then deleted.
- Client, job and treatment records: as long as you're a client, and for at least 5 years after the last service, because of our record-keeping and tax obligations.
- Marketing preferences: until you opt out.
After that, we delete the information or make it anonymous.
9. Your rights
Under POPIA, you have the right to:
- ask whether we hold personal information about you, and ask for a copy
- ask us to correct or update information that's wrong or out of date
- ask us to delete information we no longer have a reason to keep
- object to us using your information, including for direct marketing
- withdraw your consent at any time (this doesn't affect anything we did before you withdrew it)
- complain to the Information Regulator
To use any of these rights, contact our Information Officer at the email address below. We may need to confirm who you are before we act on a request. We'll respond within a reasonable time, and within the period POPIA requires.
